Privacy Policy
Last updated: October 8, 2026
1. Scope and who we are
Diamond On, LLC (“Diamond On,” “we,” “us,” or “our”) provides cloud-based software, websites, portals, applications, mobile applications, integrations, and related technology services (collectively, the “Services”) for transportation companies and related businesses.
Depending on the products and features enabled, the Services may include reservations and quotes, dispatch, client and passenger management, chauffeur and fleet operations, communications, payments and billing workflows, reporting, agreements, mapping and routing, flight information, client portals, artificial intelligence-assisted functionality, and integrations.
This Privacy Policy applies when Diamond On determines how personal information is processed and when we process information on behalf of a subscribing organization. When a customer organization determines the purposes and means of processing information in Diamond On, that organization may be the controller or business responsible for the information and Diamond On acts as its service provider or processor, as applicable.
2. Information we collect
Account and identity information
We may process your name, email address, telephone number, account identifiers, organization, job title or role, tenant membership, permissions, authentication information, profile information, and information received from an identity provider you choose to use.
Client, passenger, reservation and operational information
Customers may process names, contact details, pickup and drop-off locations, saved locations, itineraries, flight information, reservation details, chauffeur and vehicle assignments, company relationships, preferences, special instructions, communications, and other information needed to provide transportation or related services.
Location information
Features that support dispatch, trips, routing, arrival intelligence, or temporary trip tracking may process vehicle, chauffeur, trip, pickup, drop-off, route, and device or browser location information. Where device or browser permission is required, location is collected only after the applicable permission is granted. Location-sharing features may provide controls to stop sharing where applicable.
Communications and connected accounts
When enabled by an authorized user or organization, Diamond On may process email, SMS, telephone, message metadata, attachments, communication history, and information from connected services to provide the requested communications or workflow functionality.
Payment and billing information
Payment features may be provided by third-party payment processors. Diamond On is designed to use secure provider tokens or references where appropriate rather than unnecessarily storing raw payment-card credentials. Payment processors may process payment information under their own terms and privacy policies.
Technical, security and usage information
We may collect IP address, browser and device information, operating system, login activity, session information, feature usage, diagnostic information, security events, audit records, and similar technical data needed to operate and protect the Services.
3. Google, Microsoft, and Apple sign-in and connected services
Diamond On may let users authenticate with Google, Microsoft, or Apple. Authentication is used to verify identity; Diamond On remains responsible for determining tenant membership, roles, permissions, entitlements, and access within the Services. We use the provider's stable account identifier, rather than relying solely on an email address, to identify a linked external identity.
If you choose Sign in with Google, Diamond On may receive information authorized through the sign-in flow, such as your name, email address, profile picture, and a stable Google account identifier. We use this information to authenticate you, establish or link an authorized Diamond On identity, maintain account security, and provide the Services.
If you separately authorize additional Google functionality, Diamond On will request only the permissions reasonably necessary for the feature you choose. Depending on the integration, this may involve information from an authorized Google service such as Gmail, Calendar, or Contacts. We use that information only to provide, secure, maintain, or improve the user-facing functionality you authorized, consistent with the permissions granted and applicable Google requirements. The exact Gmail permissions we request, what each does and why, what is stored and never stored, and how to revoke access are described on our Google user data use page.
Diamond On's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. We do not sell Google user data, use it for personalized advertising, or transfer it to advertising platforms, data brokers, or information resellers.
Microsoft
If you choose to sign in with a Microsoft personal, work, or school account, Diamond On may receive information permitted by the Microsoft identity scopes you approve, such as your name, email or username, tenant or directory information where applicable, and a stable Microsoft account identifier. We use this information to authenticate you, link an authorized identity, maintain security, and provide permitted Diamond On functionality.
Additional Microsoft or Microsoft 365 data is accessed only when a user or authorized organization separately enables an integration and grants the required permissions. Diamond On seeks to use least-privilege permissions appropriate to the requested functionality.
Apple
If you choose Sign in with Apple, Diamond On may receive a stable Apple user identifier and, when authorized and available, your name and verified email address. Apple may allow you to share a private relay email address instead of your personal email address. Diamond On respects that choice and does not require you to replace a valid Apple private relay address merely to continue using Sign in with Apple.
Because Apple may provide certain profile information only during the initial authorization, Diamond On may securely retain the information you choose to share so your account can continue to function on later sign-ins.
Disconnecting an identity provider or integration
You may be able to disconnect a provider through Diamond On account settings, the applicable provider's account or security settings, or by contacting us. Revoking provider access may disable related functionality. Disconnecting an identity provider does not necessarily delete your Diamond On account or information we must retain for security, legal, contractual, audit, or legitimate recordkeeping purposes.
Diamond On does not receive your Google, Microsoft, or Apple account password when you authenticate through those providers.
4. How we use information
We may use information to provide and operate the Services; authenticate users; manage accounts, tenants, roles, permissions, and subscriptions; process reservations and transportation workflows; facilitate dispatch, communications, portals, payments, reporting, integrations, and support; provide authorized AI-assisted functionality; detect fraud, misuse, and security threats; maintain audit records; diagnose problems; improve reliability and performance; communicate service information; enforce agreements; comply with law; and protect Diamond On, our customers, users, and others.
We do not use information obtained through third-party authentication for purposes materially unrelated to the functionality the user or organization authorized.
5. Artificial intelligence features
Certain Services may use AI to assist with classification, summarization, drafting, data extraction, recommendations, or responses to authorized requests. Depending on the feature, information necessary to perform the request may be processed by third-party AI service providers acting on our behalf. We seek to limit information to what is reasonably necessary and apply contractual, technical, and access controls as appropriate.
Diamond On does not sell personal information to AI providers for advertising. AI-generated output may be subject to deterministic rules, permissions, or human review before consequential operational actions are performed.
7. Multi-tenant data protection
Diamond On is a multi-tenant platform serving independent organizations. We use tenant scoping, authorization controls, and related safeguards designed to prevent one organization from accessing another organization's information except where an authorized cross-organization workflow has deliberately been established. Access is governed by applicable tenant membership, role, permission, entitlement, and server-side authorization rules.
8. Data security and retention
We use reasonable administrative, organizational, and technical safeguards designed to protect information against unauthorized access, alteration, disclosure, loss, or misuse. Safeguards may include encryption, authentication and authorization controls, tenant isolation, logging and auditing, secure credential management, infrastructure controls, monitoring, and backup and recovery procedures. No Internet-connected system can be guaranteed completely secure.
We retain information for as long as reasonably necessary to provide the Services, maintain accounts and operational records, fulfill contractual obligations, protect security, prevent fraud, resolve disputes, maintain appropriate backups and audit records, and comply with law. Retention varies by data type, customer configuration, contract, and legal requirements.
9. Cookies and similar technologies
Diamond On websites and applications may use cookies and similar technologies for authentication, security, session management, preferences, functionality, performance, and analytics. Where legally required, we will provide applicable choices or consent mechanisms.
10. Children's privacy
Diamond On is a business and transportation technology platform and is not directed to children under 13. We do not knowingly solicit children under 13 to create independent Diamond On accounts. Transportation providers may process passenger information involving minors when necessary to provide services; the responsible organization must have an appropriate legal basis or authorization for that processing.
11. Privacy choices and rights
Depending on your location and applicable law, you may have rights to request access, correction, deletion, or a copy of certain personal information; to restrict or object to certain processing; or to withdraw consent where processing is based on consent. Legal exceptions may apply.
When Diamond On processes information on behalf of a customer, we may direct a request to that customer or assist the customer in responding. You may also manage permissions or revoke access through your Google, Microsoft, or Apple account settings, as applicable.
12. Third-party services and international processing
The Services may integrate with third-party products governed by their own terms and privacy practices. Diamond On and its service providers may process information in the United States and other locations where providers operate. Where required, we use measures designed to provide appropriate protections for international transfers.
13. Changes to this policy
We may update this Privacy Policy as our products, technology, legal obligations, or data practices change. We will update the “Last updated” date and provide additional notice of material changes where required. We will keep disclosures concerning connected-provider data current with the functionality we actually offer.
